Registration FAQS

The Registration page provides all information on the registration process. However, this page details some of the freqently asked questions.

I sent a registration form a few days ago, but I haven't got a confirmation yet, and my credit card has not been charged yet. I'm not sure if I have been registered or not.

Due to the holidays period in the University. Some of our accounts officers are on holidays, so delays in processing credit card details are possible.

In general, if you do not hear from us, please assume that everything is in order.

I'm an EC-based student. Would applying for both student CEPIS/Yahoo! grants increase my chances of obtaining a bursary, or do all applications end up on the same pile?

Each applicant will have at most one bursary. It is just that a UK-based student has three chances: if unsuccessful with MMKM, he/she will be considered for CEPIS grants then for Yahoo! grants; An EC-based student will be first considered for CEPIS grants, if unsuccessful, then he/she will be considered for Yahoo! grants; All other students will be only considered for Yahoo! grants.

If you are an EC-based student and if you apply to CEPIS grants, then when successful that's the end of it. If unsuccessful, we will automatically consider you for the Yahoo! Research grants, even if you did not apply to them.

Note that BCS-IRSG grants have however a separate scheme. First, they are open to all members of BCS IRSG, whether students or not (membership to BCS IRSG is free and open to all). Second, they have different application requirements. In particular, applicants should provide a short article up to 500-750 words in MS Word (or text format) describing their research, or a project that they are working on or a conference that they have recently attended. The bursary will be awarded, subject to the article being accepted by the BCS-IRSG Informer Editor. For those applications that meet the requirements, the BCS IRSG bursaries are allocated on a first-come first-served basis!.

To maximize your chances, I would recommend that you both apply to MMKM, CEPIS, OR Yahoo! (based on where you are based), AND BCS IRSG (however, again, you will get at most one bursary!).

If I receive the MMKM/CEPIS/Yahoo!/BSC-IRSG grant. Do I need to pay the registration fees?

Yes, you will have to send us the registration form and pay the registration fees upfront. You will be reimbursed once you arrive in Glasgow. All holders of a bursary need to register and pay the registration fees by 15th June 2007, otherwise the bursary goes to the next applicant on the waiting list.

The registration fees are 230 GBP, and I'm a holder of a bursary of 250 GBP, does this mean that all travel and accomodation expenses are to be met by myself?

Yes, that's right. Once you come to Glasgow, all we give you is 250 GBP, that's it. The bursary is a partial contribution towards all expenses, including the registration fees, which need to be paid by the bursary holder.

Is the student accommodation guaranteed?

We have pre-booked a significant number of rooms in the modern Queen Margaret Residence Halls at a discounted rate. The QM Residence is at a walking distance to the ESSIR 2007 summer school venue. However, University accommodation is only available in the arrangements indicated on the ESSIR 2007 registration form and must be prepaid. Refunds are not possible if the accommodation is not used, or only partially used. Rooms cannot be guaranteed and allocation is on a first-come first-served basis. Once we have allocated all our pre-booked rooms, delegates need to make their own accommodation arrangements (See a list of B & B and Hotels nearby the ESSIR 2007 venue) or contact directly the University's Conference & Visitor Services Office by emailing vacationaccom@gla.ac.uk or phoning +44(0)141 330 4116.

Update on 27th June 2007: The Queen Margaret Hall Residence is now full. We can no longer accept booking for this residence. From now on, new delegates need to make their own accommodation arrangements. There are several hotels and B&Bs close to the summer school venue. In such case delegates should contact the hotel directly.

Can I book extra student accommodation nights, in addition to those indicated on the Registration form?

If you require extra nights (if you arrive earlier or stay longer), you should book them directly through the University's Conference & Visitor Services Office by emailing vacationaccom@gla.ac.uk or phoning +44(0)141 330 4116. The University residence booked for ESSIR 2007 is the Queen Margaret Student Halls. Just mention that you are booking extra nights for ESSIR 2007. Extra nights cannot be guaranteed and allocation is on a first-come first-served basis! Note that there will be no discount on the required per-night rate.

I am bringing my spouse with me. Can I have a double room at the QM Residence Halls?

Indeed, there are twin rooms in the Queen Margaret Halls as indicated here. However, we have only pre-booked a significant number of single rooms. Therefore, if you require a confirmed available twin room, we advise you to contact directly the University's Conference & Visitor Services Office by emailing vacationaccom@gla.ac.uk or phoning +44(0)141 330 4116. Again, note that there will be no discount on the required per-night rate. Another option is that you fill two forms: one for you and one for your spouse; the form for you will tick the registration fees for ESSIR2007, and the accommodation box, and the one for your spouse will only tick the accommodation box (unless he/she wants to attend the lectures!); then we can make sure that you are at least in the same flat, or make a booking for you in one of these twin rooms, if they are available. If you choose this option, please make sure that you let us know by email. Finally, the list of nearby B & B and Hotels offer double rooms, which are sometimes at a very competitive rate.

Can I buy extra tickets for the social events (e.g. Official banquet or reception)?

Probably. We will post information on that later.

I need a visa to enter the UK. Can you issue me with an invitation letter?

We are happy to provide invitation letters for ESSIR 2007, provided that:

Invitation letters are sent by mail and fax and, ONLY when explicitly required, by surface mail.

Is there a cancellation policy?

Cancellations notified on or before 27th July 2007 will be subject to a 25% cancellation fee. After that date, no refund will be issued to registered participants who cancel after this date or do not show up at the ESSIR 2007 summer school. Registration fees refunds can only be issued after the ESSIR 2007 summer school has ended.

How can I get in touch with other delegates of the summer school, and share information with them?

We have set up a Ning social network regarding the ESSIR 2007 summer school. It might be useful for participants to have discussion groups, share information including pictures and videos, write blogs, arrange transportation, know about the things not to miss in Glasgow, find people to share rooms with, weather, FAQs, etc. Once you register for ESSIR 2007, you will automatically receive an invitation to log into the ESSIR 2007 Ning social network site. You can also join the network by requesting an invitation . This will be granted only when we can ascertain your identity (to avoid spam).

I saw that there is a football (soccer) match between organisers, lecturers and delegates. How to sign up!?

If you want to sign up as a player, please log into the Ning ESSIR 2007 social network. There is a blog entry about the football match in the "Main" rubric. Just add a comment that you wish to play (it is as simple as that). Further information on the football event, and all other social events, will be posted shortly on the ESSIR 2007 web site.
