Call for Student Volunteers

ECOOP 2005 is pleased to be able to offer a number of opportunities for student volunteers to participate in ECOOP whilst assisting us in preparing and running the event.

We will substantially reduce or eliminate the cost of accommodation, halve or waive registration fees, and significantly reduce the cost of tutorials for the accepted volunteers.

Banquet tickets are not, unfortunately, included in the benefit package for student volunteers, but there is a reduced rate for all students.

LOCAL STUDENTS
Postgraduate and undergraduate students who are based in the West of Scotland, or who will be available in the West of Scotland in the week or two prior to ECOOP, are sought to help with preparations for the event and to act as local guides during ECOOP.

In exchange for your assistance, you will receive full or partial rebate of your registration fee (depending on the level of assistance offered). Thus you will gain access to all aspects of the main conference, including coffee breaks and lunches, and will be able to participate in the receptions.

OTHER STUDENTS
We have opportunities for both postgraduate and senior undergraduate students to participate in ECOOP. We cannot subsidise your travel costs, but we will provide low-cost or free (room-only) accommodation for the duration of the conference and we will waive half or all of your registration fee.

Students making a major commitment to the conference, which may be as much as three days of labour during the daytime, and/or some assistance early in the morning or early evening, will have their registration fee waived in full. Please note that there may be relatively few opportunities for major commitment volunteers, and we expect these to be over-subscribed.

Students making a minor commitment to the conference, which is approximately one or two days of labour during the daytime, plus assistance on Sunday 24th and/or Friday 29th, and some assistance during breaks and at the start or end of day, will have their registration fee halved. There will be rather more opportunities for minor commitment volunteers, but we may not be able to accept all volunteers.

All accepted volunteers will have first choice on the free and reduced cost accommodation that we have available.

Potential student volunteers who are not selected for the major/minor roles above will, nonetheless, be put into a ballot to allow access to any spare accommodation we have available for the student volunteers. This will be considerably cheaper than the local hotels. We hope to accommodate all potential student volunteers but cannot guarantee this.

All potential volunteers will also receive a small discount on the student registration rate (a further 10 pound reduction), even if they are not accepted for the role.

 
 
WORKSHOPS and TUTORIALS
Admission to the workshops is controlled by the workshop organisers. However, we will provide a student volunteer for each workshop, and we will endeavour to match volunteers to workshops which interest them.

Similarly, each tutorial will be provided with a student volunteer, who will be required to attend the tutorial to assist the organiser in the event of any difficulties. Thus, being a tutorial volunteer allows free access to the tutorial. Again, we will endeavour to match student volunteers with tutorials that interest them.

Student volunteers who wish to attend additional tutorials will be able to do so at a substantially reduced rate of 50 pounds per tutorial unit, provided that space is available in the tutorial, and that are not needed for other duties at that time.

ACTIVITIES
As a student volunteer you may be asked to prepare materials before the event, or to engage in a number of activities during the week, including:

  • help with registration/information,
  • put up signs for information and messages,
  • guard doors and provide technical support at workshops and tutorials,
  • guard doors and help with microphones during the technical program and
  • assist at the social events.
HOW TO APPLY and DEADLINES
Applying for consideration as a student volunteer should be done before you formally register for the conference if possible. We will process applications in batches, but you will receive a response within one week of applying.

Your application should be sent by fax to +44 (0)141 3301937 and should include the following:
  • full contact details
  • a clear statement of your preferences with regard to volunteering, e.g. how much commitment can you offer, any workshops you have already been acepted for, your preferences for assisting with tutorials and other workshops
  • a short CV (no more than one page),
  • a list of languages you speak fluently and
  • evidence that you are a student (as for student registration)

Please try to keep the whole bundle down to 3 pages at most.

The main deadline for applications is June 20th.

Earlier applications will be processed before that date, and late applications may be accepted at our discretion.

As soon as you get your response, we will ask you to complete the normal registration forms, including sending payment if required for additional tutorial units, banquet tickets, partially-waived registrations etc.

 
ACCOMMODATION ARRANGEMENTS
We have a variety of accommodation available for the student volunteers, and for students who wish to volunteer but whose services are not needed. Please indicate your preferences in your application, identifying who you would be willing to share with if you are happy to use a twin room. Possible entries on your preference list:

  • Single room, nearby, very cheap
  • Twin room, nearby, very cheap (identify who you'd share with, if you know)
  • Single room, across city, very cheap
  • Single room, city centre, very cheap
  • Single room, city centre, basic
  • Single room, city centre, en-suite
Free and Cheapest Accommodation:

A small number of single rooms are available within a short walk of the venue. A rather larger number of twin rooms are available at the same location.

A large number of cheap single rooms are available several miles from the venue. We would arrange some transport between this location and the venue, but you may wish to use public transport at other times of day, which may be somewhat time consuming.

These rooms will cost just over 15 pounds per night (if not provided free).

City Centre Accommodation:

Rooms are available at city centre locations for student volunteers (and potential volunteers) at rates from 14-357 pounds per person per night (if not provided free). These will involve a walk or use of public transport across the city centre, so are midway in convenience between the two locations for the cheapest rooms described above.

Please note that these rooms are reserved for the student volunteers in the first instance, they are not available for non-student delegates. If you have any questions about volunteering, feel free to contact Murray Wood on murray.wood@2005.ecoop.org.

A captain of volunteers and team leaders will be appointed from the accepted volunteers at the start of July, at the same time as the initial task allocation is made.
